Provide a Smooth Onboarding Experience With Our New Hire Checklist Template
Research by Aberdeen Group shows that companies with a standard onboarding procedure see more than 54% new hire productivity and 50% new hire retention.
More or less, we all remember our first day at school. Lots of crying, running outside the classroom, afraid of all the strangers around, and that feeling of our family abandoning us. But in some cases, the mentor approaches with a candy or a toy and we are immediately distracted. Also, the teacher introduces us to another student to share this pretty little first-day trauma. Soon we become friends and there is no enjoyment other than going to school and meeting our friends.
The first day of an employee is also similar, the only difference is we are expected to behave more maturely and responsibly. Effective onboarding has gained huge importance recently. Hiring a new employee is only the first step of a successful hiring process. It is all about making the employee feel at home.
Making the first impression the best is not easy without a new hire checklist handy. The team should prepare a checklist with all the requirements for a smooth onboarding process. The goal of your onboarding should be to make the employee feel “I belong here.”
What is a New Hire Checklist?
It is a step-by-step guide starting from the paperwork followed by setting up the equipment and introducing the new hire to your company’s culture. This checklist aims to provide support and assistance to the new hire to blend in. The checklist ensures nothing slips through the cracks.
A new hire checklist template helps the HR team to follow a standardized onboarding process. No matter how many employees are onboarded at a time, keeping a checklist will spare you from missing important deadlines, overlooking important information, and creating unnecessary confusion.
Don’t Forget to Include These Things in Your New Hire Checklist
Welcome Note
Let’s begin with a beautiful welcome mail to the employee showing how happy the company is to have them onboard. Send a public welcome message in one of your communication channels to let the other employees know about the new hire.
First Day Instructions
There is not much to do for an employee on their first day. So you should send a list of instructions, like an agenda, for the employee regarding the onboarding process. This will avoid confusion like what to do, where to go, etc.
Assign a Buddy and Mentor
As we discussed in our small example above where the teacher introduces us to another student, the HR should assign a buddy to the new hire to get to know more about the company. A mentor is the one who helps the new employee solely in their work.
Give an Office Tour
The assigned buddy should take the new hire to show around the office. This includes meeting with co-workers, showing other departments especially the IT department, and most important of all the pantry. Yeah, let them know you have free snacks and coffee there!
Collect Important Documents
This one is a crucial step. Ask the employee to submit all the supporting documents for their new position. This may include experience letters, ID proofs, pay slips, etc.
Allot Equipment and Give Access
IT department, here is where your role comes. Assign the new hire to a new laptop, keyboard or whatever is required for their job. Give access to various digital tools and other online resources. Don’t forget to warn them against the phishing emails.
Provide Training Materials
Every company has its own way of approaching different tasks. The only way a new hire can hold the grip is by taking proper training. In the first few months, assign multiple training materials and courses to the employee so that they are well-versed in their work.
Some Ways to Measure Onboarding Success
